Student App privacy

How the Aspire2 Student App and Student Portal use and protect your personal information.

About this policy

This policy explains how Aspire2 International (“we”, “us”, “our”) collects, uses and protects personal information in the Aspire2 Student App and the Student Portal. It adds to our general privacy policy, which also applies. We follow the Privacy Act 2020.

What we collect

We collect only what we need to run your application and your study:

  • Contact details: your name, email address and phone number.
  • Application and study records: your application, documents you upload, your offer, enrolment, timetable, attendance, assessments, grades and fees.
  • Things you create: assessment work, photos and files you attach, messages to our team, and notebook entries.
  • Identifiers: your student number, and a device token so we can send you notifications.
  • Wellbeing check-ins: only if you choose to complete them.
  • Study activity: your lesson progress and course activity.

What we do not collect

The app does not collect your location or your contacts. It has no advertising, does not track you across other apps or websites, and we never sell your information or share it for advertising.

Camera, photos and Face ID

The app asks before it uses your camera or your photos. We use the camera to scan QR codes and to photograph your work, and your photos only when you choose a file to upload. If you sign in with Face ID or your fingerprint, your phone checks it. We never receive your face or fingerprint.

How we use your information

We use your information to:

  • process your application and offer;
  • run your enrolment, classes, assessments and results;
  • send you messages and notifications about your study;
  • support your wellbeing through our pastoral care team;
  • meet our legal duties as a tertiary education provider.

The AI Coach

The AI Coach helps you study. Your questions go to an artificial intelligence (AI) service so it can answer you. We do not send your name, student number or contact details with your questions. Please don’t type private information into the AI Coach.

Who we share it with

Our staff see your information only when they need it for their work. Our student platform provider stores and processes it for us, under contract, and may not use it for anything else. We share information with government agencies when the law requires it, for example the New Zealand Qualifications Authority, the Tertiary Education Commission, the Ministry of Education and Immigration New Zealand.

Keeping it safe

Your information is protected by your password and stored securely. Only authorised people can see it. We keep study records for as long as the law requires us to.

Your rights

You can ask to see the personal information we hold about you, and ask us to correct it. You can also ask us to close your account. Some records, such as results we have reported to government agencies, must be kept by law. To make a request, email info@aspire2.ac.nz.

Questions or concerns

If you have a question about your privacy, or think something has gone wrong, email info@aspire2.ac.nz. If you are not happy with our answer, you can contact the Office of the Privacy Commissioner (opens in a new tab).
